Who we are looking for:

The Production Coordinator is responsible for establishing and maintaining purchase agreements with vendors and partners across traditional and digital media. They will review purchase orders, purchase requisitions, bids/RFPs, and invoices for accuracy. They will monitor contracts to ensure compliance and maintain purchasing related files. This includes assisting in managing the selected vendors throughout the project, being accountable for the work at each vendor, maintaining best practices throughout production, tracking inventory and post-mail tracking processes.

What you'll do:

  • Management and execution of all assigned production projects
  • Develop and prepare purchase orders and contracts as assigned; process paperwork and forms; verify receipt of goods; and resolve discrepancies and problems regarding price, and invoices.
  • Manage and track partner invoicing and payment.
  • Adherence to departmental processes and guidelines
  • Project expense reconciliation
  • Assist in trafficking of proofs and data with vendors when assistance is needed
  • Immediate escalation when timelines are in jeopardy
  • Proofing, inventory management, quality control processes and procedures

What you'll need:

  • Minimum 1 year of experience in a comparable environment
  • Demonstrated project management experience
  • Strong Excel and spreadsheet management skills
  • Attention to detail (proofing and invoicing accuracy)
  • Fluency in all Microsoft Suite Programs (Outlook, Excel, Word, Adobe Acrobat)
  • Knowledge of digital and print media channels
  • Strong communication skills
  • Strong prioritization skills
  • Comfortable with budget calculations
