Job Description

Job Duties:

  • All topics related to agenda management - administrate the executive's agendas minimizing the conflicts in routines, checking the different demands in a way to filter all the priorities.
  • Travel arrangements - To manage the logistics of the national and international trip focusing on security, budget, itineraries, and connections, as well as hiring/negotiating the ground transportation.
  • Expenses management - To manage the budget system, administrate the total logistics of the area, profit plan, outlook, expenses reductions and payments.
  • Staff meetings presentations management - To elaborate presentations, coordinate the USM staff meeting, to elaborate and consolidate the report.
  • Top Management events organization - To organize global events, institutional guests reception
  • Onboarding process - Onboarding the new executives
  • Support to all ACIM/USM Colleagues
  • Fully support executives

Requirements:

  • Four or more years of experience in an administrative role reporting directly to upper management
  • Extensive knowledge of the IT systems available by the company (Outlook, Google, Office, SAP).
  • Extensive knowledge of the different forms of virtual connections to facilitate meetings (Zoom, Webex, Meet, Teams)
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Maintain professionalism and strict confidentiality with all materials

  • Experience in overseeing budgets and expenses
  • Experience in developing internal processes and filing systems
  • Time-management skills and the ability to multitask
  • Great attention to detail
  • Organization and Interpersonal skills
